CASE 01

Inventory

Assume one title position and six staffed activation spaces.

Do not sell the exclusive title or the same physical space twice.

CASE 02

Cash versus in-kind

A donated item is not cash available to pay the course.

Record delivery, restrictions and actual usable value separately.

CASE 03

Fulfilment

Each promised sign, mention and player place gets an owner.

An unassigned benefit is an operating liability.

Fictional players, numbers and arrangements. No real booking, measured equipment trial or actual event policy is represented by the example.

The short version

  • Reconcile included sponsor seats with total field capacity.
  • Value cash and in-kind support separately.
  • Promise only defined benefits and verified audience information.

Start with deliverable inventory

List the field capacity, sponsor seats, sign positions, program placements and permitted activities. The fictional event has 48 places,12 reserved for sponsors and 36 left for other players. Selling 48 public entries as well would overbook it.

Have the course approve physical activations and access arrangements. A sponsor’s preferred position may interfere with play or be unavailable. An original inventory is more useful than copying another charity’s package names and prices.

Describe benefits precisely

Specify sign size, location category, display period, included entries and any communications the organizer is actually able to provide. Do not invent impressions, attendee income or guaranteed business outcomes.

First Tee Central Washington’s published sponsorship information illustrates an organizer defining its own offering. Its prices and audience should not be transplanted into this fictional event.

Keep a fulfilment checklist

Assign an owner and deadline to each benefit. Record artwork due dates, course approval, attendance confirmation, setup, photographs of delivered placements and any make-good process. Separate confirmed cash from promised in-kind items.

The event checklist connects those commitments to the day’s staffing. The shotgun schedule comparison helps reconcile playing places with the actual start plan.
